JOB DESCRIPTION – Customer Service Advisor

As part of this role you will provide Customer Service Support to members of the public who come to the Reception at the Ilfracombe Centre.

As a Customer Service Advisor you will be part of a team working on reception along with both Town and District Council Colleagues.

You will be expected to greet members of the public answer queries or provide signposting as appropriate.

You will also be involved in the logging of visitors to the Ilfracombe Centre and informing the appropriate staff of their arrival.

You will be responsible for taking room bookings and handling cash and card transactions made at the reception desk by customers who hire the rooms or who are paying for permits.

You may also be involved in the implementation of office procedures and be given responsibility for specific projects and tasks and support activities as may be
required.

This role involves good written and oral communication skills, word processing and organisational skills, as well as the ability to multi-task and work well under pressure.

Due to the sensitive nature of some of the work involved in this role you will be expected to exercise confidentiality, integrity and professionalism at all times.

Responsibilities
You will:

  • Answer queries from residents and members of the public in a timely manner
  • Ensure that the ITC email box is managed and emails redirected as required
  • Use a variety of software packages (including Outlook, POS system, and
    Microsoft Office)
  • Sort and distribute incoming post and organise and send outgoing post
  • Deal with telephone and email enquiries, using the email system
  • Photocopy and print various documents, on behalf of other colleagues
  • Deal with members of the public and visitors to the Ilfracombe centre
  • Manage the visitor book and associated security process
  • Organise and store paperwork, documents and computer-based information
  • Keep room booking diaries and arrange appointments
  • Book meeting rooms
  • Other clerical duties as directed by the Office Manager or other senior
    officers of the Council.
